Key Responsibilities:

  • Participate in daily operations meetings to coordinate closely with all support departments on administrative and operational matters.
  • Supervise the Front Office team, ensuring punctuality, grooming, and adherence to professional service standards.
  • Conduct daily briefings to communicate key updates, priorities, and follow-up actions.
  • Review Duty Manager log entries to ensure all guest issues and concerns are resolved promptly and thoroughly.
  • Oversee the smooth and efficient functioning of Front Office operations, ensuring compliance with departmental standards and procedures.
  • Collaborate with the Reservations Department during high-occupancy periods, recommending strategies to maximize yield and achieve optimal occupancy.
  • Manage overbooking situations effectively and coordinate guest relocations when necessary, maintaining guest satisfaction.
  • Liaise with the Finance Department to ensure all credit and billing procedures are accurately followed.
  • Analyze market trends, review rooming lists, and motivate the Front Office team to up-sell rooms and packages to enhance revenue.
  • Coordinate and oversee major group movements, conferences, and events, ensuring operational readiness across departments.
  • Conduct courtesy calls to VIPs, long-stay, and corporate guests to gather feedback and address any service gaps proactively.
  • Handle guest correspondence and ensure timely, professional follow-up.
  • Manage daily room inventory and coordinate with Housekeeping to align room readiness with arrival times.
  • Personally welcome guests upon arrival, ensuring smooth check-in and a personalized experience.
  • Ensure that ALL – Accor Live Limitless members, repeat guests, and VIPs receive their entitled benefits and recognition.
  • Maintain updated guest profiles and repeat guest histories to personalize future stays.
  • Promote in-house facilities and inter-hotel sales to maximize revenue opportunities.
  • Handle guest complaints tactfully, ensuring swift resolution and recovery.
  • Manage guest messages, calls, and mail with efficiency and discretion.
  • Maintain guest privacy and confidentiality at all times, safeguarding sensitive information.
  • Monitor in-house credit matters and take timely action on discrepancies.

Qualifications

  • Diploma or Bachelor’s Degree in Tourism / Hospitality Management
  • Minimum 2 years of experience in a similar role within an upscale or luxury hotel environment
  • Excellent proficiency in English (spoken and written); knowledge of other languages and local dialects is an advantage
  • Strong communication, interpersonal, and leadership skills
  • Sound knowledge of hotel operations and guest service standards
  • Proficient in MS Excel, Word, and PowerPoint; familiarity with Opera PMS or other property management systems preferred
  • Highly organized, guest-focused, and capable of performing effectively under pressure
